Terms and Conditions for Venue Hire

ONCA is a not-for-profit charity inspiring creativity and positive action in the face of environmental  change.  

Since 2012, The ONCA Gallery has both devised and hosted pioneering exhibitions working in  collaboration with extraordinary artists, performers, charities, collectives, storytellers, fashion  designers, scientists and explorers. We offer varying levels of support depending on the individual  exhibition. For more information see our Rental Agreement. 

The versatile main space, with high ceilings, vast windows and light wood floorboards, is beautiful,  flexible and inviting. There is access to a sink and kitchen facilities, a small WC, courtyard garden and crypt. The main space looks out to one of the busiest footfalls in Brighton through a large, bay window,  which has become its own-curated space, stage and discussion point across the city.  

In addition to the main gallery space, there is a basement space which can be used for installations. In  this space there are 2 equipment cupboards, these are only accessed by ONCA staff but can be utilised  on agreement. 

ONCA Terms of Use 

  1. Description of space and equipment: 

 

With its high ceilings, classic atmosphere and vibrant art, the ONCA Gallery will lend a distinctive,  creative edge to your event. For standup socials, ONCA can accommodate up to 100 people, and  for sit down events up to 25-30 seated. This is in compliance with health and safety. The ONCA  Gallery is available for rental seven days a week, for evening events from 6pm until midnight. It is  the perfect place for seminars, creative fundraisers, exhibitions or launch events. The main gallery is  approximately 410 square feet and may be configured in a variety of ways. 

Up to 25 chairs can be provided. If your group requires more furniture for your event you must rent  and arrange for delivery and pick up, coordinating with ONCA staff. ONCA has a set of small speakers  available for use, clients should bring their own music if this is required, MP3 players can be connected to the gallery speakers. 

ONCA is equipped with a minikitchen, which includes a refrigerator, sink, and a limited number of  serving dishes and 52 wine glasses available for use (any breakages will incur a £1 charge per item). 

  1. Use of Space: 
  2. ONCA is a visual arts space. Clients must take extra care with the displayed artwork if event occurs during an exhibition. This includes notifying guests and attendees at the event to be careful and respectful of the artwork. 
  3. Client must identify one main event contact to facilitate setup, staffing needs and cleanup, and  to serve as a contact for the duration of the event. We also require a secondary contact, in case  of emergencies. 
  4. For all events, an ONCA member of staff will be onsite during the client’s stay. D. Display: Client may not decorate walls for a single day event. Banners, posters, artwork or any  other signs must be affixed to freestanding supports. Use of glitter, sparkles, rice, birdseed, or  similar material is not allowed. Client may not make holes in the main gallery space walls for  presentation of any work or information. 
  5. Food/Drinks: Clients should provide all refreshments required. Clients may use a caterer or  bring in outside food for the event, providing it is properly cleared afterward. This includes  sweeping and wiping down tables and vacuuming the floors. ONCA recommends local food  suppliers, such as The Real Junk Food Project and hiSbe. 

 

ONCA Terms of Use ctd. 

  1. Noise: Client must not play loud music before 7pm, unless otherwise agreed with the ONCA  team. Music arrangements for evening events must be confirmed in advance with the ONCA  team as neighbouring businesses and those working from above the gallery often have  extended working hours. Clients must remain sensitive to the surrounding businesses and keep  noise/disruption to a minimum. 

 

  1. The Client agrees responsibility for all promotion. ONCA should be identified as the venue  partner for your event on your publicity materials, according to our logo and branding  guidelines, available on completion of hire agreement. 

 

  1. Liability: The Client agrees to hold the ONCA Trust and its employees free from any liability or  claim damages or suit for or by reason of any injuries to any person or property of any kind  whatsoever, from any cause whatsoever, arising out of the use and occupation of the premises  by the renting party; and the renting party hereby covenants and agrees to indemnify the ONCA  Trust from all liability or damage on account of or by reason of any such injuries or damage.  Costs of damages to ONCA Gallery property and / or contents must be met by the client. 

 

  1. Insurance: The Client must hold public liability insurance for themselves and any of their staff/ volunteers, and make arrangements for insurance of any artwork/equipment brought onsite.  A copy of the public liability insurance policy must be given to the ONCA Gallery before the  event takes place. 

III. Deposit:  

50% deposit payable on confirmation of booking (25% of this fee is nonrefundable). Balance payable 6  weeks before date of event. 

  1. Keys:  

One set of keys is available, the responsibility of which must be held by no more than two individuals.  We require a deposit of £20, which will be returned to the Client at the end of the event. 

  1. Maintenance/Cleanup:  

The space must be returned to the condition it was in upon arrival. Client may forfeit the £50 cleaning  deposit and incur additional cleaning charges if conditions are not met. Cancellations by the Client

For a full or half day booking our cancellation policy is 100% refund if you give us 72 hours or more notice, 50% refund for 48 hours or more notice and then less than 24 hours notice we are not able to offer a refund as it is just too short notice for us to make that money back. 

Cancellations by the Venue

In the event of  cancellation by the ONCA Gallery, the full deposit shall be returned to the client.
