O N C A Membership Terms & Conditions

Becoming a member at ONCA helps support the delivery our environmental and creative learning programmes and projects. In return, members receive special opportunities and discounts commensurate with their level of support.

‘We’/ ‘us’/ ‘our’ refers to ONCA

Terms

Your membership is an annual membership and your payment covers a period of one year from the start date.

Memberships (new and renewing) may take up to 2 weeks from receipt to process. Membership materials (for new members) will be posted out to you by Royal Mail. Membership renewal confirmation will be emailed to you within 2 working days of receipt. Please contact us if you have not received your membership materials/ renewal confirmation. .

You can renew or upgrade your membership and update your details at any time by contacting us.

Supporter news will be sent electronically to members without a UK postal address, unless otherwise requested.

Anyone buying a Gift Membership will be asked to provide the name and address of the Gift Membership recipient, which will be held by us for the fulfillment of the Gift Membership. It will then be the responsibility of the gift recipient to contact us to update their contact preferences and provide any further contact details they wish us to have, including any email addresses.

Benefits

As a member you are entitled to the benefits as listed on the relevant Members pages of ONCA’s website.

Discounts cannot be applied retrospectively.

Fees

Members are responsible for ensuring that membership fees are paid.

Your membership is valid from the point of your membership fee being received.

When you become a member, you will be asked to make a payment and set up an annual or monthly recurring payment. You can cancel recurring payments at any time.

If your membership fee is outstanding you are still responsible for the payment of any benefits you may have used from the day you became a Member, this includes any exhibition tickets that you may have used in this period. If you have redeemed any discounts on purchases or services, these will be repayable in full.

If you have purchased a membership online, over the phone or in person at ONCA, you have a right to cancel and receive a full refund within 14 days. Any benefits used within that time must be repaid as per the above term of use.

We regret that membership cannot be refunded after 14 days of payment being made as it is treated as a donation.

If you wish to cancel part-way through your membership year, you are not entitled to a partial refund as per the above point regarding cancellation.

Gift Aid

Individual categories of Membership are eligible for Gift Aid and thus can be included in self-assessment tax returns.

Memberships purchased as a gift for someone else are not eligible for Gift Aid claims and cannot be included in self-assessment tax returns.

Gift Aid can only be claimed on the fees that have a valid Gift Aid declaration on the member’s record.

It is your responsibility to read the declaration and truthfully fill it out. It is also your responsibility to inform us of any changes in your tax status, if your name and/or address changes or if you wish to cancel the declaration.

You have 30 days to cancel the Gift Aid declaration after receiving acknowledgment from us before any claim is submitted against the membership fee.

To be eligible for Gift Aid a donor has to be a UK taxpayer and to have paid an amount of UK income tax or capital gains tax that is equal to any tax we would reclaim on your Membership or donation.

Declarations are valid into the future until you notify us that it needs to be stopped.

Events

We encourage you to respond swiftly for events in ONCA’s public programme as free Member places may be limited and are offered on a first come first served basis.

Members are entitled to purchase tickets for guests, however, the Members’ Free Ticket benefit will only be applied to the member’s ticket.

ONCA staff may need to refuse entry to Special Previews or Private Views upon late arrival if it is felt that it would cause disruption for other guests.

We request that Members across all categories of membership and their guests attending ONCA events adhere to the obligations of membership as outlined within this document.

Obligations of membership

We reserve the right to refuse entry or, if necessary, to revoke membership without refund if an individual behaves in a threatening or abusive manner towards any person at ONCA, damages or threatens to damage any of the collections or property of ONCA, or acts in a manner which – in our sole opinion – brings ONCA into disrepute.

The supply of alcohol will be restricted at our sole discretion based on the behaviour of the individual and/or their guest.

We take a zero tolerance approach to the use of illegal drugs. 

Termination of membership

Membership may not be transferred from one individual to another.

Upon notification of the death of a member we will conclude the membership unless instructed to transfer to a named individual for the remainder of the annual membership period. 

If payment of any membership fee has not been received by us within 14 days of the date of renewal membership will be terminated.

In the event of any dispute arising as to the meaning or interpretation of these rules, the matter shall be referred to ONCA’s Directors whose decision shall be final.

Staying in touch

We request that you keep us up to date with your preferred contact details. We are not responsible for any missed communications due to a change of address (electronic or postal).

We will endeavour to post communications to your preferred postal address. However, in the case of catalogues, or residential addresses outside of the United Kingdom we may need discuss alternative arrangements if prohibitive postal costs are likely to be incurred.

If returned mail is received by us due to a change of address and we are unable to re-establish contact, membership will be cancelled within two months of us attempting to make contact.

It being in our legitimate interest to do so, we will contact you by email, to update you on your Membership status including reminders when it is due to expire. Members may also be contacted up to 18 months after the expiry date of their membership asking them to re-join. If you do not want to receive these communications please inform us either in person, by phone or by email.
